This prominent molecular diagnostics company is known for its revolutionary cancer screening product, and sought to streamline its order entry process to enhance e ciency and reduce operational backlogs. Access Healthcare was chosen to implement a robust order entry system, aligning with the company’s vision of delivering seamless and timely patient care.

Challenges

The transition for this project took place during a holiday. It was done flawlessly, despite being a generally difficult time for conversions in a healthcare setting.

During the implementation, we encountered the following challenges

  1. Phased and Aggressive Transition: A backlog of 90,000 orders led to combining Phases 1 and 2, necessitating simultaneous go-live for both phases, and coordinating 100 resources posed a signifi cant challenge.

  2. Maintaining Quality with Increased Resources: The simultaneous go-live raised concerns about maintaining quality without compromising accuracy and precision.

  3. Uneven Training Ratio: Only ten (10) users from operations were initially trained, resulting in an uneven ratio of trained to untrained sta of 1:10.

Solutions

To address these challenges, Access Healthcare implemented the following solutions:

  • Team Segregation: The team was divided into two groups based on strengths and responsibilities, with one group dedicated to order entry and the other handling document reindexing.

  • Comprehensive Training: Phase 3 users were trained proactively based on feedback and experiences from the fi rst two groups, using innovative micro-learnings for workfl ow steps.

  • Regular Client Interaction: Daily touch base calls facilitated collaboration and issue resolution.

Results

Access Healthcare’s solutions yielded impressive results:

  1. Exceeded Productivity Targets: The team achieved over 100% of the Statement of Work (SOW) target production from the fi rst week.

  2. Backlog Clearance: By the fi rst week of January 2023, the entire backlog of 90,000 orders was cleared, streamlining operations.

  3. Client Acknowledgment: The Client appreciated the progress and expressed interest in transitioning additional processes later in the year.
